Privileges

Here is a list of all the different controls in the portal, plus the privileges which are associated with them.

Manage Users

  • When this privilege is assigned to a user/employee, they can search for a user by their type (students, parents, employees or admin), the name of the user or the user ID.

  • Create a new user and manage their profile.

  • Assign privileges to an employee.

  • View a user profile and change their password, which is particularly useful as users often forget their passwords.

  • Block a user account, which prevents the blocked user from logging into their respective accounts.

  • Unblock the user account.

Event Management

  • When this privilege is assigned to a user/employee, they can create an event for either the whole school to see or for a specific class/department.

  • The employee can create events such as holidays, school trips and clubs for either all users to view, or just a certain class or department.

Form Builder Management

  • When this privilege is assigned to a user/employee, they can create a form template.

  • This allows the user to create a template of a particular form and publish it to the institute, including all the students and employees.

Manage News

  • When this privilege is assigned to a user/employee, they can publish timely announcements to keep all the school users informed.

Discipline

  • When this privilege is assigned to a user/employee, they can track students’ Discipline and Behaviour.

  • Create complaints against students or staff.

  • Keep track of received, pending and solved complaints.

Librarian

  • When this privilege is assigned to a user/employee, they will be able to manage (add, view, edit and delete) books in the Library module.

  • Search for books via Barcode, Book Number, or the title of the book in the Library module.

  • Issue books and return the books from/into the Library module.

Transport Admin

  • The privileged employee can setup the basic configurations and manage Transport Settings in the transport module.

  • Create all the stops that vehicles will travel to and from during an academic year.

  • Create active vehicles for an academic year and add additional vehicle details.

  • Assign employees from departments as drivers or vehicle attendants and record their contact details.

  • Manage all routes in the institution by creating a new route, assigning vehicles, assigning stops to the route and adding the pickup and drop timings

  • Assign students and employees to routes. Based on the transport mode, they will be able to choose from two-way or one-way transport.

  • Create and view fee collections.

  • Mark route wise attendance passengers boarding the transport vehicle.

  • Record details of maintenance work done on vehicles, such as the amount spent, the next maintenance date and receipts of work.

  • Import transport data from one academic year to another.

  • Generate Transport Reports.

Custom Import Privilege

  • A privileged employee can import data into the institute using CSV file, thus saving time from creating manual entries.

  •  By using Custom Import, the following information can be recorded in the institute:

  • Employee admission details including salary structure, any Additional Details, Bank Details and Employee Privileges.

  • Student admission details, including any additional details.

Custom Reports Control

  • When this privilege is assigned to a user/employee, they will be able to create Custom Reports using the admission information of students and employees.

  • By specifying filter criteria, the user can retrieve only the data they require and hide the data they don’t want displaying.

  • Custom Reports can be downloaded in comma-separated values (.csv) format.

Custom Reports View

  • When this privilege is assigned to a user/employee, they can view and print custom student and employee reports.

  •  The user can have control of viewing and printing custom Student and Employee Reports.

Task Management

  • When this privilege is assigned to a user/employee, they can assign and create tasks (including assignments, online tasks and more) to a single employee or student, or multiple. While creating a new task, the privileged user can set the due date as well as view and add comments to the task.

  • The privileged employee will be able to manage (view, add, edit and delete) tasks.

Placement Activities

  • When this privilege is assigned to a user/employee, they can announce placement events to students. Eligible students can be authorised to participate in the event and the result can be declared.

  • The privileged employee can announce new placements, invite students and check their status.

  • They can also archive the placement, as well as generate the report based on the type (invited, applied, approved, attended and placed) of students.

Employee Manager Inventory

  • When this privilege is assigned to a user/employee, they can create and manage store items, indents, Purchase Orders and generate Reports.

App Frames Management

  • When this privilege is assigned to a user/employee, they can access the external application in the institute.

  • The user can create new frames by adding the client URL, client name and make it accessible through the institute in just one click.

Client Authorisations

Client App Management

  • These two functions work together and when the privilege is assigned to a user/employee, they can create a new client and manage their apps.

Manage Inventory

  • When this privilege is assigned to a user/employee, they can create and manage store categories, store types, stores, item categories, store items, supplier types and suppliers.

  • Create Indents, manage Purchase Orders and Invoice.

  • Create GRN, generate Reports and manage Tax Calculation mode.

Inventory Basics

  • When this privilege is assigned to a user/employee, they will only be able to create the basic modules of the Inventory.

  •  The user will have access to the following privileges:

  1. Creating and managing Store Items.
  2. Creating Indents.
  3. Managing Purchase Order.
  4. Generating Reports.

Data Management

  • When this privilege is assigned to a user/employee, they can create new data categories, add fields to them and finally the saved data can be printed.

Data Management Viewer

  • When this privilege is assigned to a user/employee, they can view and print data, but not create new data categories.

Inventory Sales

  • When this privilege is assigned to a user/employee, they can manage Invoice, generate Reports and generate Sales Reports.

  • They can also generate Item-wise Report, generate Day-wise Report and generate Invoice Report.

Document Management

  • When this privilege is assigned to a user/employee, they can upload, view and share documents to the employees and students.

  • The user will have the ability to create a privileged folder, where there is an option to add members with upload privilege. Members can upload files/documents to this specific folder, which they can all access.

  • They can also create a user-specific (either students or employees or both) folder where they can add the user-specific documents.

Reminder Manager

  • When this privilege is assigned to a user/employee, the user can set reminders and send messages to alert students, parents and employees about upcoming institutional events.

  • Reminders are sent a specified amount of time before an event, via SMS and email, and can be created for Events, Exams, Online Exams and Payment Collection Schedules.

  • Create custom reminders to notify your online portal users about any type of upcoming institutional activities.

  • For online portal users to receive reminders, their contact information (mobile number and email address) must be saved in their institute profiles. Also, the SMS and email settings must be configured for your online portal account.

Manage Alumni

  • When this privilege is assigned to a user/employee, the user can view alumni of past sections/classes, schedule and organise alumni events.

  • They can also invite alumni to events, view and track responses to event invitations and contact alumni via email.

Student Management

Admission

  • When this privilege is assigned to a user/employee, they can use the Student Admission form to admit a new student in the online portal.

  • They will be able to enter all the details of the student (Name, Admission Number, Parent details and more) who is being admitted to the institution, via the online portal.

Students Control

  • When this privilege is assigned to a user/employee, they can admit students into the online portal.

  •  They will be able to manage (view, edit, send and delete emails) students’ profiles by inputting their details. This is  based on the type of student they are, which will either be a present academic year student or a former student.

  • The user can also manage all of the students’ details by searching their profiles, based on their class, using the view all option.

  • This privilege also includes the advanced search option, which allows them to search the details of the students.

Student View

  • When this privilege is assigned to a user/employee, they will be able to manage student details although they won’t be able to admit the students into the online portal.

  • Managing student details includes searching for students, viewing, editing, sending and deleting emails

Student Attendance Register

  • When this privilege is assigned to a user/employee, they can mark the attendance of the students present in online portal.

Student Attendance View

  • When this privilege is assigned to a user/employee, they can view and generate an Attendance Report (either monthly or daily) of students. This can be based on monthly, custom or overall data.

  • The user can add extra information (date of birth, gender and more) of a student by customising the columns, which can be saved in the report.

Manage Student Records

  • When this privilege is assigned to a user/employee, they can create and manage record groups. A record group is a collection of records used to detail information about students, which are all specific to one area of interest. For example, this could include a record about students’ health, such as height, weight and vision.

  • They can also assign record groups to classes and sections

  • Enter and manage student records

Applicant Registration

  • When this privilege is assigned to a user/employee, they can create and manage online applications for new class members in the institute.

  • They can activate applicant registration for each class, with customised forms and fields, based on the requirements.

  • They can also create new pins and give them to the applicant at the time of online registration.

  • They can also update the status of the online application received and either allocate or discard the applicant, based on the terms and conditions.

Manage Transfer Certificate

  • When this privilege is assigned to a user/employee, the user can generate the  Transfer Certificate.

  • They can then choose and add the required fields, based on the institution/board’s standards.

  •  They can also view and manage the transfer certificates generated for outgoing students.

Academics

Examination Control

  • When this privilege is assigned to a user/employee, the user can manage Grading Levels, Ranking Levels and Class Designations.

  • They can set Grading Levels, Ranking Levels, Class Designations, Grades and Weightages for CCE.

  • Manage Observation Groups, FA groups and association to subjects.

  •  Manage Basic CCE Report Settings, Detailed CCE Report Settings, configure grades and upscale settings for scholastic subjects.

  •  Manage CGPA Settings, Report Settings for Exams, Grouped Exams and Transcript Reports.

  • Configure how students are sorted in report cards and mark entry pages.

  • Create new exams and enter marks.

  • Generate Student Reports for Grouped Exams.

  • Generate Exam-wise Reports, Subject-wise Reports and Grouped Exam Reports for archived students.

  • Generate reports for subject-wise student ranks, reports for section-wise student ranks, reports for class-wise student ranks and reports for the school’s overall student ranks.

  • Generate reports for section-wise student rank per attendance, reports based on different ranking levels, student transcripts and combined student reports.

  •  Manage Online Exam System, where they can create a new online exam, view existing online exams, view online exam results and reset exams for a student.

Enter Result

  • When this privilege is assigned to a user/employee, they can enter a result even if no subjects are assigned.

View Result

  • When this privilege is assigned to a user/employee, they can view the results in all the classes even if no subject is assigned.

  • They will also be able to view online exam results.

Manage Timetable

  • When this privilege is assigned to a user/employee, they can create and edit class timing sets.

  • They can also set weekdays and class timing sets for each section, create and manage timetable allocations, view classes’ timetables and view teachers’ timetables.

  • Assign subjects to teachers, view the entire timetable for a day and allocate classrooms.

  • Customise timetables by going into Timetable Settings and configuring how they want the class details to be displayed, in the student and employees’ Timetable PDF Report.

  • Manage Timetable Tracker, manage Timetable Swapping and generate Swapped Timetable Report.

Timetable View

  • When this privilege is assigned to a user/employee, the user will be able to view the timetable for a class, view the timetable of teachers, view the entire timetable for a day and view the Swapped Timetable Report.

When this privilege is assigned to a user/employee, the user will be able to generate the following reports:

  • Swapped Timetable Report

  • Class/Sections Details

  • Former students Details

  • Subject Details

  • Student Fees Defaulters Details

  • Student Fees Head-wise Report

  • Siblings Report

  • The report of the total number of classes, sections, students and employees present in the institution.

Manage Allocations

  • When this privilege is assigned to a user/employee, the user can allocate classrooms for the employees and students based on the timetable.

  • They can also allocate buildings in two ways, either allocating classroom on a weekly basis or by dates.

Manage Buildings

  • When this privilege is assigned to a user/employee, they will be able to add buildings and their respective class numbers into the online portal module. Therefore, classrooms can easily be allocated to employees and students according to their timetable.

Online Exam Control

  • When this privilege is assigned to a user/employee, they can create a new online exam, view an existing online exam, view online exam results and reset the online exam for a student.

Manage Gradebook

  • When this privilege is assigned to a user/employee, they will be able to manage the following features:

  • Create Exam Planners, create terms, add exam types for the academic year, manage Gradebook by scheduling exams, enter marks and generate reports for classes.

  • Manage Grade Profiles, Ranking Levels, Class Designation, as well as other exam configurations and create Attribute Profiles to evaluate subject exams, based on parameters.

  • Assign Attribute Profiles to subjects. For example, the Class Participation profile has the following attributes: attention in class, response to questions and maintenance of notebooks.

  • Create Activity Profiles to manage grade-based non-scholastic evaluations to evaluate non-subject related aspects of learning.

  • The user can create multiple activity profiles and assign them to different exam planners. For example, co-scholastic activities or psychomotor skills.

  • Create and manage all applicable grading profiles for the institution, evaluate grade-based subject exams and activity exams and assign them in the planner. For example, a co-scholastic grading profile.

  • Configure remark banks to group similar remarks under a set. Remark banks can be contain field codes that will autofill details, such as name and pronouns. When adding remarks, choose a remark bank and select the most appropriate remark(s) from the set.

  • View and download Student-wise Exams, Term and Planner Reports, Subject-wise Exam Reports and Exam Reports for all subjects.

Gradebook Mark Entry

  • When this privilege is assigned to a user/employee, they can schedule exams, enter marks and generate reports for classes.

Certificate Management

  • When this privilege is assigned to a user/employee, the user can create and manage the templates of different certificates issued by their institution and create templates for students and employees.

  • Configure the settings, design the template in the editor and use available system fields, or add a unique custom field in the template.

  • Generate a certificate for one user or for multiple users.

  • Manage generated certificates. All certificates issued from the institution will be archived and easily accessible.

ID Card Management

  • When this privilege is assigned to a user/employee, they can create and manage the templates of different ID cards issued by their institution and create templates for student, guardian and employee ID cards.

  • Configure settings and design the template in the editor. They can use available system fields or add their own custom field in the template.

  • Generate individual ID cards for one user, as well as ID cards for multiple users at once.

  • View generated ID cards and manage all previously generated ID cards. They will need to regenerate the required certificates again.

Social / Other Activity

Create Group

  • When this privilege is assigned to a user/employee, they can create and delete a group in the Discussion module.

Poll Control

  • Create a new poll and assign different classes and departments to it.

  • View the votes for the poll.

Blog Admin

  • Post, search and manage the settings required for blog creation.

Gallery Admin

  • Create an album, add photos and set the visibility options.

System Settings

General Settings

  • When this privilege is assigned to a user/employee, they will be able to adjust the school’s basic settings, like the school name, address, enable roll number during student admission and enable Google SSO.

  • Update different student categories in school.

  • Configure additional details, which are fields about students that aren’t already included in the portal. These can be created and then filled in during the admission process.

Manage Year/Class

  • When this privilege is assigned to a user/employee, they will be able to create and manage years and classes.

  • Activate or deactivate academic years.

  • Manage and import subjects for different classes.

Subject Master

  • Manage subjects corresponding to different classes.

  • Manage Subject Groups, Elective Groups and Subjects on the class level.

  • Manage subject skill sets, skill sets and sub-skills.

  • Link class subjects to years.

Manage Student Roll Numbers

  • Create a unique Roll Number for students or assign a prefix for a class’ roll numbers.

Send Email

  • Send emails to employees, students and parents.

Email Alert Settings

  • Manage the settings for email alerts, such as setting an email alert during the examination schedule.

  • View the list of students who have unsubscribed from the email notification.

Message Settings

  • Enable or disable which users can send messages in the institution and who can they send messages to.

Finance Control

Manage Payments/Fee

  • When this privilege is assigned to a user/employee, they can manage the settings for the school’s fee configuration, such as the receipt template, tax settings, and invoices.

  • Create master payments, master particulars and master discounts.

  • Create new payment collecting dates.

  • View the structure of student’s payments.

  • Manage and pay instant payments.

  • Manage all imported fees for any student.

  • Set the duration of the financial year, configure printer settings and configure details of the Receipt PDF.

Payments/Fee submission

  • Collect payments based on class, student-wise or particular-wise.

  • View students with due payments.

  • Manage and pay instant payments.

Manage Refunds

  • View all refunds.

  • Create refund rules for payments collection.

  • Apply/revert a refund for a student.

Finance Reports

  • When this privilege is assigned to a user/employee, they can view income and expense transactions for all accounts.

  • View payments receipts of students, employees and guests.

  • Compare financial transactions of two different periods.

  • Generate detailed particular-wise student transaction report and particular-wise daily transaction report.

  • Generate a report of tax collected.

Approve/Reject Payslip

  • View the employees assigned to a payroll group, their payroll details and the payslips generated.

  • Approve or reject employee payslips generated for a pay period.

  • View payslips generated for an employee.

  • Generate simple and advanced Payslip Reports.

Revert Transaction

  • Collect the fees as well as revert these collected fees, in the event of any errors.

  • Collect instant fees as well as revert these collected instant fees, in the case of errors.

  • View fee defaulters, collect and revert fees from them.

Miscellaneous

  • When this privilege is assigned to a user/employee, they can create new finance categories.

  • Manage transactions by creating new expenses and new income groups.

  • Create new donations.

  • Create, manage and view Assets and Liabilities.

  • Mange tally exports by configuring the necessary settings.

  • Configure manual tally synchronisation, bulk export and view failed synchronisations.

HR Management

HR Settings

  • When this privilege is assigned to a user/employee, they can create and manage Employee Categories, Positions, Departments and Grades.

  • Set up employee Working Day Settings.

  • Set up and manage employee Leave Types.

  • Create and manage employee Bank Details.

  • Customise the employee admission form by adding additional fields.

  • Configure the Payroll Calculation Mode.

  • Create and manage employee Leave Groups.

Employee Management

  • Admit employees using the employee admission form.

  • Assign each employee with one or more subjects.

Payroll & Payslip Management

  • When this privilege is assigned to a user/employee, they can create and manage Employee Category and groups based on payroll.

  • Configure information to be displayed in employee payslip.

  • Generate employee payslip.

  • Manage rejected employees’ payslips.

  • Generate and customise simple and advanced Payslip Reports.

Employee Attendance

  • When this privilege is assigned to a user/employee, they can mark employee attendance.

  • View all employee leave applications.

  • Reset employee leaves.

  • Generate the attendance report of employees from all departments.

  • Can generate the leave balance report for all departments.

Employee Search

  • Search for an employee based on: employee number, name, department, category, position, grade or different combinations of these fields

Employee Reports

  • Generate a PDF report with all the employee details such as employee number, joining date, department and category.
